Help to conduct a survey or questionnaire

Library and Learning Centre Survey Service

If you need to conduct a survey, we can assist you here at the Survey Service, whether you are an academic, a researcher, a student, or an administrator.  We can also assist where external colleagues are working with you on collaborative surveys.  We can even create your online survey on your behalf (staff only).

The key resource offered by the University is the Jisc Online Surveys tool.  This is available to all staff and students, free of charge, including external colleagues involved in collaborative surveys.  It is managed by the Survey Service based in the Library and Learning Centre. 

Once you have an active Jisc Online Surveys account you can access the Help and Support pages to help you get started.

Technical advice and support are available from the Survey Service.

Accessing the Jisc Online Surveys Tool

Request a Jisc Online Surveys Account

Email LLC-Surveys@dundee.ac.uk to request a Jisc Online Surveys account. Survey Service staff will then add your University of Dundee email address to the University of Dundee Jisc Online Surveys system.  Once we have done so, we will notify you by return email and include supporting information (copies below).  This will include details on how to access the Help and Support pages to help you get started.

Please do not create your own Trial account from the Jisc website as the University of Dundee has no control over this type of account (which is time-limited to 30 days).

Please try to give 2 working days’ notice when requesting a Jisc Online Surveys account.  If you are a staff member requesting multiple Jisc Online Surveys accounts on behalf of your students, please try to give 4 working days’ notice.  In the vast majority of cases requests are actioned sooner that the requested notice periods above, but these will help during particularly busy periods.

Activating your Jisc Online Surveys Account

Within 15 minutes of Survey Service staff notifying you that your University of Dundee email address has been added to the University of Dundee Jisc Online Surveys system you will receive an automatically generated email invitation from Jisc Online Surveys.  The email invitation will contain an activation link which you will click on to enter your University of Dundee email address and activate your Jisc Online Surveys account.

Survey Privacy Notice

When planning your Jisc Online survey, please remember to check whether it requires a privacy notice.  Details on how to do this will be provided in the supporting information from the Survey Service.

Where it does require a privacy notice, two template privacy notices are provided from which to select and complete the information in squared brackets.  Once completed you should send your privacy notice to Data Protection dataprotection@dundee.ac.uk for approval well in advance of your survey launch date to avoid any potential delay.

Ongoing Support from the Survey Service

Ongoing technical advice and support is available for both staff and students.  Requests will be administered on a first come first served basis in a fair and consistent manner.  We would therefore urge you to plan ahead with your survey requirements

Requests for technical advice/support will be acknowledged and responded to by close of play on the next working day.  Please be mindful that full resolution of technical queries/support requests will depend on the complexity of any given technical query/the extent of support required. It will also depend on your ability to respond in a timely manner to any Survey Service follow-up requests for additional information regarding your technical query/support request. Where this is not received in a timely manner, we reserve the right to reschedule your request for technical advice/support in order to avoid delays to other staff and students awaiting assistance.

Ask the Survey Service to Create your Survey (staff only)

The Survey Service can create (but not distribute) your online survey on your behalf. As with requests for technical advice/support, online survey creation requests will be administered on a first come first served basis in a fair and consistent manner.

Other Survey Tools

There are many free survey products available on the Internet, including SurveyMonkeySurveygizmo and Qualtrics.  You should note, however, that data gathered and stored using these survey tools is usually the property of the host company, and often not subject to UK Data Protection regulations.  For legal and intellectual property reasons it is therefore recommended that you do not use such tools if your research or survey is being conducted on behalf of or as part of your work at Dundee University.

Statistical Analysis Tools

The University offers access to several professional-standard statistical evaluation tools to help you make sense of the data gathered from your survey or questionnaire.  These include SPSS for quantitative or statistical analysis and Nvivo if your research is more qualitative or text-based in nature.  Both these can be downloaded for free from the Apps on Demand service on staff and student PCs.
